MEP coordination basics for architects

Architects are not expected to design mechanical systems, but they do own the space those systems occupy. Most coordination failures trace back to space that was allocated optimistically and never verified.

The ceiling void is the battleground

Between the structural soffit and the finished ceiling, several systems compete: ductwork, pipework, sprinklers, cable trays, lighting, structure and fire protection. Each is designed by someone confident there is room.

The realistic sequence is that structure takes priority since it cannot move, then large ductwork because it is bulky and inflexible, then gravity drainage because it must fall consistently, then sprinklers which have coverage rules, then pressurised pipework and cabling which are the most flexible.

Designing a tight void and hoping is the most common cause of dropped ceilings appearing late in a project.

What to establish early

  • Realistic void depths, agreed with the engineers rather than assumed
  • Riser and plant space sized properly, since these are almost always tighter than first drawn
  • Main distribution routes, which shape the whole ceiling strategy
  • Where services cross structure, and whether penetrations are acceptable there
  • Access requirements for anything needing maintenance

Penetrations deserve early attention

Every service crossing a rated wall or floor needs a properly detailed and firestopped penetration. Every penetration through structure needs engineering agreement. Discovering both late means either redesigning routes or expensive on site resolution. Beam penetration zones should be established with the engineer early, and services routed to suit rather than the reverse.

Reflected ceiling plans are a coordination document

An RCP is often drawn as a lighting layout, then reality intrudes. It should show everything in and on the ceiling: lights, diffusers, sprinklers, speakers, detectors, access panels and grid setting out. Coordinating these on paper is far cheaper than coordinating them on site, and the sprinkler layout in particular tends to arrive after the ceiling grid is set.

Access panels are not a detail

Every valve, damper and piece of equipment above a ceiling needs reachable access. Deciding this at the end produces panels in visually unfortunate places. Deciding early lets you plan them into the ceiling design.

Coordinate at the right moments

Two coordination reviews matter most: one when routes and void depths are first proposed, and one before documentation is finalised. The first prevents fundamental problems, the second catches the accumulated small ones. Waiting until issue means finding both at once, when everything is expensive to change.

None of this requires engineering expertise. It requires asking for dimensions early, drawing what you are told, and refusing to accept a void depth nobody has verified.
